Job Summary
The Staffing Manager oversees daily operations within the staffing office, ensuring efficient recruitment, onboarding, and management of employees across various job roles. In addition to coordinating dispatch, processing payroll, and ensuring compliance with safety and employment policies, this role plays a key part in developing and expanding client relationships, identifying new business opportunities, and supporting sales initiatives. The Staffing Manager is expected to balance strong operational management with a proactive approach to customer growth, driving both employee satisfaction and client success.
We are seeking a dynamic and motivated Staffing Manager to oversee daily operations in our staffing office. The ideal candidate will be responsible for recruiting, onboarding, and managing employees for various job roles while also building client partnerships, contributing to revenue growth, and supporting sales goals. This role involves overseeing dispatch, handling payroll, managing client relations, and ensuring compliance with safety and employment policies. The Staffing Manager will also support vehicle and office operations, manage timecards, and maintain a high level of customer service to both employees and clients.
Key Duties and Responsibilities
Recruitment and Onboarding
Recruit prospective employees for various job roles through flyers, social media, field recruiting, and other methods.
Assist applicants with online applications and onboarding paperwork (W-4, I-9, etc.).
Process applications and assist with uploading I-9 identification.
Coordinate employee orientations, including safety programs and job-specific training.
Employee, Client, and Sales Management
Manage daily dispatch of employees, including transport, delivery, and pickup.
Oversee vehicle safety inspections, maintenance, and upkeep.
Ensure efficient distribution and entry of timecards and weekly payroll processing.
Maintain positive client and employee relations, handling inquiries, advances, reimbursements, and pay card management.
Actively contribute to client retention and growth by identifying staffing needs, promoting additional services, and expanding business within existing accounts.
Support sales efforts by attending client meetings, preparing proposals, and assisting with rate negotiations when required.
Collaborate with leadership on local market development, prospecting potential customers, and participating in community or networking events to build brand presence.
Compliance and Safety
Lead weekly safety site visits and conduct safety meetings.
Track employee training and weekly cut-sheet processing.
Assist with investigating and managing workers' compensation claims and return-to-work letters.
Oversee unemployment claims and ensure compliance with labor laws and company policies.
Administrative and Operational Tasks
Set up and maintain the front office for daily activities.
Handle customer service calls, invoice questions, and office supply orders.
Process daily and weekly payroll and manage pay cards (Day Pay).
Coordinate dispatch and setup TempWorks On-Site Time Clock systems.
Upload and link timecards for invoicing and audits.
Provide general administrative support, answering phones, and assisting with any ad-hoc office tasks.
Other Responsibilities
Drive as needed.
Assist in ordering office supplies and maintaining office operations.
Perform other duties as required to ensure the smooth operation of the staffing office.
Qualifications
Valid Colorado Driver’s License in good standing.
Proficient in Microsoft Word and Excel.
Strong customer service and communication skills.
Ability to work extended hours, including some weekends, and be on-call when needed.
Strong organizational skills, dependability, and the ability to work with a sense of urgency.
Preferred Qualifications
Prior experience in an administrative, staffing, sales, or HR-related role is preferred but not required.
Experience with social media platforms for recruitment and business development is a plus.
Knowledge of staffing industry sales practices and client management is an advantage.
